An invoice generator is only as good as the tax it puts on the page, and that is where most free tools stop at a single "tax %" box. This one asks where you sell and applies the rule of that place: the state sales tax rate from each of the 51 US revenue departments plus the local rate you add, UK VAT at 20%, 5% or 0% with HMRC's rounding and the domestic reverse charge, Canadian GST at 5%, HST from 13% to 15%, PST, RST and Quebec's QST at 9.975%, and Australian GST at 10% with the words the ATO requires on a tax invoice. On a £1,000 sale that means £200 of VAT in England, $149.75 of GST and QST in Montreal and $100 of GST in Sydney. Beside the preview, a checklist reads your invoice against the official list of required details for your country and amount. There is no account to create and no watermark, and the PDF is built in your browser, so nothing you type is sent to a server.
Checked by Radif Partners · How the tax is calculated
One generator, four tax systems
The four countries do not tax a sale in the same way, and an invoice that copies the wrong model is either wrong or unusable by your customer. The generator switches its whole logic with the country selector: the tax lines, the wording, the page size, the date format and the checklist all change. These are the rules it applies.
| Country | Tax on the invoice | Rates applied | Registration | Generator page |
|---|---|---|---|---|
| United States | State sales tax plus local taxes | 2.9% to 7.25% at state level; none in 5 states | Seller's permit from each state where you collect | US invoice generator |
| United Kingdom | VAT | 20%, 5%, 0%, exempt | Compulsory above £90,000 of taxable turnover | VAT invoice generator |
| Canada | GST, HST, PST, RST or QST | GST 5%; HST 13% to 15%; QST 9.975% | Small supplier limit $30,000 | Canada invoice generator |
| Australia | GST | 10%, GST-free, input-taxed | Compulsory from $75,000 of GST turnover | Tax invoice generator |
Why a single "tax %" box gets invoices wrong
Most free generators offer one percentage applied to the whole invoice. That works for a single-rate sale and fails as soon as reality is a little more complicated, which is most of the time.
In the US the rate is not one number per state. 38 of the 51 jurisdictions let cities, counties or districts add their own tax, and many services are not taxable while the goods sold with them are. The generator therefore keeps the state rate from the revenue department, lets you add the local rate of the delivery address, and lets you mark each line as taxable or not. Texas at 6.25% plus a 2% local rate puts $82.50 of tax on a $1,000 taxable sale; California's 7.25% base rate puts $72.50.
In Canada, the province changes the structure, not just the rate. 5 provinces charge one harmonized tax, while British Columbia, Manitoba, Saskatchewan and Quebec stack a provincial tax on top of the 5% GST, each computed on the price before GST. The same $1,000 becomes $1,130 in Ontario, $1,120 in Vancouver and $1,149.75 in Montreal, and a line can carry GST without PST when the provincial tax does not apply to it.
In the UK, a single invoice often mixes 20% and 5% lines with zero-rated and exempt ones, HMRC lets invoice traders round the total VAT down to the penny, and building firms under the domestic reverse charge must state the VAT without charging it. In Australia, a price that includes GST holds exactly one-eleventh of GST, and the document must say it is a tax invoice. A per-line tax code, not a single box, is what lets the generator handle all of this.
What an invoice has to show, country by country
The checklist next to the preview is not a style guide. It reads the official list for your case and ticks each item off as you type. The lists are short, but they differ in ways that matter to the customer who wants to reclaim the tax.
| Country | Source | What the invoice must carry | Depends on the amount |
|---|---|---|---|
| United Kingdom | VAT Notice 700/21 | Sequential number, time of supply, your name, address and VAT number, customer name and address, description, quantity, unit price, VAT rate and net per line, total VAT in sterling | Simplified invoice allowed up to £250 |
| Canada | ITC Information Regulations | Your name, invoice date, total; then your GST/HST number and the tax; then the customer's name, the terms and a description | Three bands: under $100, to $500, above |
| Quebec | Revenu Québec | The same as Canada, plus your QST number, and the QST amount and description at any amount | Yes, same bands |
| Australia | ATO | "Tax invoice", your identity and ABN, issue date, description with quantity and price, GST amount, extent taxable | Buyer identity or ABN from $1,000 |
| United States | State revenue departments | No federal list: number, parties, description, terms, and sales tax as its own line where you collect it | No |
The full lists, with what each item means in practice, are in the guides: <a href="/guides/vat-invoice-requirements/">UK VAT invoice requirements</a>, <a href="/guides/tax-invoice-requirements-australia/">Australian tax invoice requirements</a>, <a href="/guides/gst-hst-invoice-requirements/">GST/HST invoice requirements</a> and <a href="/guides/how-to-write-an-invoice/">how to write an invoice</a>.
The same sale in each country
To show the difference, here is one $1,000 sale before tax invoiced by a registered business, computed by the same engine that drives the generator.
| Where | Tax | Tax amount | Invoice total |
|---|---|---|---|
| England | VAT 20% | £200.00 | £1,200.00 |
| Ontario | HST 13% | $130.00 | $1,130.00 |
| British Columbia | GST 5% + PST 7% | $120.00 | $1,120.00 |
| Quebec | GST 5% + QST 9.975% | $149.75 | $1,149.75 |
| New South Wales | GST 10% | $100.00 | $1,100.00 |
| Austin, Texas | 6.25% state + 2% local | $82.50 | $1,082.50 |
| California (base rate) | 7.25% | $72.50 | $1,072.50 |
Templates for the work you invoice
Each template opens the same generator with lines, terms and wording that fit a job, so you start from something close to your own invoice rather than from a blank page:
- Freelance invoice: For writers, designers and developers paid per piece: deliverables, rights, 14-day terms.
- Contractor invoice: Labor and materials on separate lines, progress billing, retainage and CIS where it applies.
- Consulting invoice: Day rates, deliverables and expenses, with the VAT rule on recharged costs and disbursements.
- Hourly invoice: Hours and rate columns like a timesheet, decimal hours, overtime on its own line.
- Quote or estimate: Price a job before you start it, with the tax shown, then turn it into the invoice.
- Pro forma invoice: Request payment in advance or support an import, clearly marked as not a tax invoice.
- Receipt: Confirm a payment received, with the tax shown and the payment date on the PDF.
- Credit note: Reduce or cancel an invoice already sent, with the VAT credited in sterling.
- Sole trader invoice (UK): Your own name and trading name, an address for legal documents, no VAT.
- CIS invoice (UK): Labour and materials split, CIS deduction and reverse charge wording on one invoice.
- Quebec invoice (GST + QST): GST and QST on separate lines, both registration numbers, Revenu Québec bands.
- Invoice without GST (Australia): For sole traders under the GST threshold: ABN, no GST, not titled tax invoice.
- Blank invoice: Empty form to fill in on screen or print, with what each box needs by country.
The country pages go further into each tax system: US invoice generator, UK VAT invoice generator, Canada invoice generator, Australia tax invoice generator.
Getting paid on time
The invoice date and the terms decide when the money is due, and in the UK they also decide when interest starts. If nothing is agreed, a business payment there is late 30 days after the customer receives the invoice; the agreed period between businesses should not normally go beyond 60 days. After that the Late Payment of Commercial Debts (Interest) Act 1998 lets you claim 8% over the Bank of England reference rate, 11.75% a year for interest that starts to run from 1 July 2026, plus a fixed £40 to £100. The <a href="/guides/late-payment-interest-uk/">late payment interest calculator</a> works it out, and the guides on <a href="/guides/payment-terms/">payment terms</a> and <a href="/guides/early-payment-discount/">early payment discounts</a> cover the choices before that point.
Why nothing leaves your browser
An invoice carries a lot of private information: your bank details, your customer's address, what you charge. Many online generators ask for an email address before the download or store each invoice in an account, which is how they sell their accounting software later. Here the arithmetic, the preview and the PDF all run in the page itself. There is no account to create and no upload. The only thing kept is what you would otherwise retype each time, your own business details and last invoice number, and they stay in your browser's storage on this device until you remove them.
How to make an invoice in five steps
- Choose the country, then the state or province where the sale is taxed, and say whether you are registered for VAT, GST or sales tax.
- Type each line with its quantity and price, and pick the tax code that applies to it: taxable, zero-rated, exempt, GST-free.
- Add your business details, your tax number and, if you like, your logo. They are remembered on this device for next time.
- Enter the customer, the invoice number, the date and the payment terms. The due date follows the terms.
- Check the list beside the preview until every required detail is ticked, then download the PDF or print it.
Every rate and rule above was read on the authority's own page, and the date of each reading is on the methodology page, with the cases used to test the engine and what it does not handle. The generator applies published rules; it is not tax advice, and the tax you owe is the one your authority assesses.
